Fall reminder for academic department requests for ACE software and hardware

 

Dear Deans, Department Chairs and Faculty,

Last spring, at the request of  the Hudson Valley Community College Faculty Association during a labor management meeting, a faculty super-user group and key administrative personnel met to design an improved communication and testing process to better ensure that the first day classes in the fall of each academic year would proceed without major technology failures.

A major part of this process is to provide timely reminders to teaching departments and their faculty to identify ACE software and hardware (new, upgrades, and removal due to obsolescence) for classroom instructor console computers and computer labs (including specialized labs). The first reminder date is to be delivered before the end of the fall semester to department chairs and faculty to carefully consider any changes they would like to see for next Fall in the ACE, computer labs and specialized instructional spaces.

ITS and IT will coordinate those requests with the institutional infrastructure upgrades and design testing environments to work out any potential functional failures for when the changes go live in the fall semester.

Each spring there will be two deadlines: the first, March 1, for requests for new procurements; and the second, April 1, for upgrades and removal. Please note: if possible, we would encourage all requests to be sent in as soon as possible. These requests will also include textbook associated CDs /DVDs and plug-ins (i.e.,TestGen and ExamView), isolated prototype builds, as well as the more usual software and hardware requests (i.e., computer lab synchronizing software). These requests will be made by faculty through their respective department chairs according to the online ACE call for software request process.

Please note: This process where the official department request originates from the DC already exists. This process does not, however, preclude faculty from participating in the request process prior to the submission to ITS. DCs have a responsibility to include and request information from their faculty members. The details for making this request are posted at https://www.hvcc.edu/secure/staff/its/ace/form.html.
