Important Zoom meeting security changes

 

In order to secure meetings and fend off potential Zoom bombing, ITS will be making the following Zoom recommended changes as listed below.

The following changes will be made to all Hudson Valley Zoom accounts to improve your experience and reduce issues:

  • Require that ALL meetings are secured with one of the following security options: a passcode, Waiting Room, or “Only authenticated users can join meetings.”
    • This feature is now Locked to On.
    • If no security option is enabled, Zoom will secure all meetings with Waiting Room. Recommended best practice for HVCC Zoom meetings is to enable “Only authenticated users can join meetings” and enable passcode.
    • Important Note: If you enable passcode on a meeting that was previously created you must update the link in Blackboard and any other area it is posted.

  • Require a passcode when scheduling new meetings.
    • This feature is now Locked to On.
    • A passcode will be generated when scheduling a meeting and participants require the passcode to join the meeting. The Personal Meeting ID (PMI) meetings are not included.
  • Require a passcode for instant meetings.
    • This feature is now Locked to On.
    • A random passcode will be generated when starting an instant meeting.
  • Require a passcode for Personal Meeting ID (PMI).
    • This feature is now Locked to On.
  • Require a passcode for Personal Audio Conference.
    • This feature is now Locked to On
  • Require passcode for participants joining by phone.
    • This feature is now Locked to On.
    • A numeric passcode will be required for participants joining by phone if your meeting has a passcode. For meetings with an alphanumeric passcode, a numeric version will be generated.
  • Only authenticated users can join meetings.
    • This feature is now Locked to On.
    • The participants need to authenticate prior to joining the meetings, hosts can choose one of the authentication methods when scheduling a meeting.
    • Important Note: There is now an option to add invitees outside of HVCC (non-authenticated users) which is also discussed in the previous link.

  • Only authenticated users can join meetings from web client.
    • This feature is now Locked to On.
    • The participants need to authenticate prior to joining meetings from web client. It is recommended best practice to only use the Zoom Web Client as a last resort as it is browser version dependent and does not have all the features of the Zoom Desktop App.
