During the past few weeks, various methods of managing registration for Spring 2022 were considered in order to comply with SUNY policies on COVID-19 vaccination. Please take a moment to review the new controls added to the enrollment process to ensure that only those students who have proof of vaccination or an approved exemption on file are permitted to schedule classes with an in-person meeting requirement.
Lists of accepted students for the upcoming semester are now sent to Health Services to confirm vaccination status in the New York State Immunization Information System (NYSIIS). Often, both MMR and COVID-19 vaccination data is available and recorded directly in Banner. However, if any data for required immunizations is not available, the student is responsible for submitting documentation of vaccination.
A Banner process will run every 30 minutes to add an attribute to the record of a student who is compliant with the COVID-19 vaccination requirement or has an approved exemption on file to indicate clearance to schedule in-person classes. In addition, all in-person classes on the Spring 2022 master schedule have been updated with an attribute restriction, which will prevent registration for any student who does not have the attribute indicating eligibility to attend in-person classes.
Whether scheduling an in-person class in Banner or WIReD, the following error message will appear if the attribute is not on the student’s record: Attribute Restriction. This is the only type of attribute registration restriction that exists, so the error message indicates that the student is not currently eligible to attend in-person classes. If an attribute restriction is encountered during registration and the student indicates a vaccine series has been completed, contact Health Services to review data in NYSIIS. A student is permitted to schedule fully online or remote classes regardless of vaccination status.
New students who have not complied with the COVID-19 vaccine mandate will receive communication outlining requirements in order to schedule in-person classes, and a team has been working on several enhancements to assist students and advisors.
- Indication of whether a student is eligible to schedule in-person classes has been added to DegreeWorks and is included on the PDF degree audit in CRM Advise. The field appears in the student header section as “In-person Instruction” with a value of YES (indicating eligibility to schedule in-person classes) or NO (indicating ineligibility).
- A new webform is being developed to provide students the ability to easily upload a COVID-19 vaccination card in the event that data cannot be retrieved from NYSIIS.
- My Enrollment Step Checklist in WIReD is undergoing updates to include information regarding COVID-19 vaccination compliance. Although the checklist reconfiguration will not be completed ahead of the Winter and Spring 2022 registration period, the plan is to have a revised checklist in place in the near future.
The campus community will be updated as these new tools are implemented.
The process for compliance with the MMR vaccine requirement has not changed. A student who schedules six or more credits and at least one in-person class will have an immunization hold placed on the record. The hold will allow the student to pay but will prevent add/drop. Non-compliant students will be administratively withdrawn on the 30th day of the semester.
