Assessment and Institutional Effectiveness minutes from April 26

The Assessment and Institutional Effectiveness Committee met on April 26, 2022. The meeting minutes are as follows.

Dr. Margaret Geehan opened the meeting at 1 p.m. The meeting was held via Zoom exclusively and was the final AIE Meeting of the Spring 2022 semester.

Middle States Update

Dr. Geehan and Joe Stenard, Middle State co-chairs, opened with an update on where we stand in preparation for Middle States, noting that they had plans to meet with the Middle States Steering Committee later that day.

Dr. Michael McDonough, president of Raritan Valley Community College in New Jersey, will conduct the college’s preliminary Middle States visit in fall 2022 and head the Evaluation Team Site Visit. . The main/final Middle States visit will be just under a year from now.

This summer, the Steering Committee will be busy working on writing the Middle States Report. A large portion of the Evidence Lists and Acronyms is drafted, so “we are well under way.”

Surveys Update
Currently, three Advisor Surveys are out in the community being completed. The Student Satisfaction Survey is going to close on the last day of classes. The Assessing the Assessment Survey has been distributed to all department/unit heads and supervisors.

In reading the Employee Satisfaction Survey comments section, Dr. Geehan feels that many people don’t know what Institutional Effectiveness is. As such, she plans to publish an article in the Campus Chronicle to briefly explain IE and to hold an open forum to provide more information and answer questions. She also may want open a portion of future AIE meetings to the campus for the same purpose. This would give people a chance to learn more about IE.

Core Indicators: Retention for 2022 and Enrollment, Graduation Rate
The group looked at the retention rates by race and ethnicity via shared screen. The regional community colleges included in our comparisons are Adirondack Community College, Columbia-Greene, Dutchess, Fulton-Montgomery, and Schenectady.

Dr. Geehan said that she would research the technical definition of nonresident alien for the purposes of understanding these charts and researching this data. Ainsley Thomas, chief diversity officer, said that his department was trying to amp up their ESL support offerings. He believes that this will allow us to help our wider community and to reach more potential students.

Enrollment Core Indicator 2.4. — The group looked at data surrounding local, peer community colleges and their headcount/percentage enrollment decreases from last fall. We are doing the same or better than many of them. ODEI is going to have a lot of this information if and when we need it. Much of it is compositional data.

The group looked at the State Ed High School Graduation Data Chart and discussed how it impacted enrollment at HVCC.

The IE Core Indicators and the AIE Committee look mainly at outcome data at the institutional level, not program level. Retention data for academic programs is important data to have for departments. It was suggested that perhaps a subcommittee of this committee to do a deeper dig into the data. This discussion was left to be continued.

The meeting was adjourned at 2:07 p.m.
The subsequent May 17 meeting was cancelled.

Respectfully submitted,
Caitlyn Gerardi
