Recent regulations set forth by the Internal Revenue Service (IRS) require the College to collect and verify the Social Security Number (SSN) or Individual Taxpayer Identification Number (ITIN) for every student in order to file information returns with the IRS and to furnish students with a statement (IRS Form 1098T) at the end of the year for tax credit purposes. The College is subject to a fine by the IRS if we do not have the SSN/ITIN, and the IRS has recently begun fining colleges. Theses fines are substantial.
The college has implemented many steps to ensure students provide the SSN/ITIN. Language has been added to all admissions and registration-related paperwork explaining the College’s obligation to collect the required information. The Cashier’s Office has communicated with students who do not have an SSN/ITIN on file requesting the information be furnished to the College.
In an effort to ensure that every student provide the required information, a hold will be placed on students’ records who do not currently have an SSN/ITIN on file. The hold will prevent future registration at the college. The hold is expected to be placed Tuesday, Oct. 7 along with a notification from the Cashier’s Office to the students.
Students can have the hold removed in one of two ways:
- To report the SSN or ITIN: Complete and submit the Personal Data Change Form, along with a copy of the social security card or individual taxpayer identification notification to the Registrar’s Office. The form can be submitted via fax, mail or in-person with photo ID.
- To refuse to provide the SSN or ITIN: Complete and submit the Acknowledgement/Refusal to Provide Social Security Number Form to the Registrar’s Office via fax, mail or in-person with photo ID. Failure to provide the correct SSN or ITIN may result in a fine by the IRS.
Questions should be referred to the Cashier’s Office at (518) 629-4504 or at cashier@hvcc.edu. Thank you.
