During the spring 2016 semester, the college engaged the services of Strata Information Group to conduct a review of its enrollment-related business processes. Close to 50 faculty, staff, and administrators participated in four workshops, each of which examined in detail the current business processes employed by the college and using that information, along with an understanding of the specific goals of the business processes, developed possible alternative processes that would be more efficient, effective, and student-centered.
The final report for this business process review is now available on the Assessment and Institutional Effectiveness web page under Plans and Reports (http://www.hvcc.edu/assessment/index.html). The report includes descriptions of our current processes, detailed suggestions on how they can be improved, and recommended actions for the college to take. Please take a moment to review its findings.
As to next steps, a college-wide Business Process Review Implementation Steering Committee has been established. Chaired by Jonathan Brennan, the college’s Chief Information Officer, this committee’s charge is to oversee and coordinate the college’s efforts to implement the recommended changes, to establish and coordinate the working groups needed for this project, to facilitate communications related to this project, and to keep the college community informed on the progress of this work. Senior Staff has reviewed the report and identified a set of initial priorities for the college:
- Implement Banner Workflow
- Automate Financial Aid data loads and processing
- Implement identity management tool (auto-provisioning of usernames and passwords, online password reset)
- Utilize Banner’s baseline FERPA functionality
- Implement Banner XE
- Implement Banner Events Management and Communicate (requires Banner XE)
Discussions are underway with Strata for them to provide project management services to assist in the college with the implementation of these priorities.
I would like to thank the Business Process Review workshop participants for all their hard work and assistance with this project. I look forward to the benefits that will be realized by the entire college community as we work to improve the way we conduct business here at Hudson Valley Community College.
