The in-person attribute registration restriction for COVID-19 vaccine compliance has been reimplemented for Winter and Spring 2023. A Banner process will run every 30 minutes to add an attribute to the record of a student who is compliant with the COVID-19 vaccination requirement or has an approved exemption on file to indicate eligibility to attend in-person classes. In addition, all in-person classes on the Winter and Spring 2023 master schedules have been updated with an attribute restriction, which will prevent registration for any student who does not have the attribute indicating eligibility to attend in-person classes.
Whether scheduling an in-person class in Banner or WIReD, the following error message will appear if the in-person attribute is not on the student’s record: Attribute Restriction. This is the only type of attribute registration restriction that exists, so the error message indicates that the student is not currently eligible to attend in-person classes. If an attribute restriction is encountered and the student indicates a vaccine series has been completed, please contact Health Services to review data in the New York State Immunization Information System (NYSIIS). A student is permitted to schedule fully online or remote classes regardless of vaccination status.
As a reminder, the following resources/procedures are available to assist in supporting students:
- Indication of whether a student is eligible to schedule in-person classes appears in DegreeWorks and is included on the PDF degree audit in CRM Advise. The field appears in the student header section as “In-person Instruction” with a value of YES (indicating eligibility to schedule in-person classes) or NO (indicating ineligibility).
- An Argos lookup tool was created to indicate whether a student satisfies the COVID-19 vaccination/waiver requirements and is eligible to attend in-person classes. Anyone who currently has access to the Argos Academic Depts folder also has access to this lookup tool. Prior to an advisement appointment, a student’s record can be accessed to determine if the student is eligible to attend in-person classes. If the student is not eligible, the tool provides the ability to send the student’s information to Health Services so the NYSIIS database can be checked.
- Informing a student of the COVID-19 vaccine requirement at the time an advisement appointment is scheduled or at any step in the enrollment process is helpful.
- Even if a student is not yet compliant with the COVID-19 vaccine mandate, courses can still be saved in Schedule Planner for a student to schedule at a later date. Step-by-step instructions on the Registration Information Center webpage will take a student through the registration process in Schedule Planner and WIReD. Once COVID-19 vaccine data/exemption has been entered in Banner and the in-person attribute has been added to a student’s record, an e-mail is sent to the student’s HVCC e-mail address indicating that in-person courses may be scheduled.
- A webform was developed to provide students the ability to easily upload a COVID-19 vaccination card in the event that data cannot be retrieved from NYSIIS: https://www.hvcc.edu/studentservices/health-services/forms/covid19-documentation.html.
- My Enrollment Step Checklist in WIReD was modified to include information regarding COVID-19 vaccination compliance.
Updates to the website are in progress. Students will also receive notification of this change.
The process for compliance with the MMR vaccine requirement has not changed. A student who schedules six or more credits and at least one in-person class will have an immunization hold placed on the record. The hold will allow the student to pay but will prevent add/drop. Non-compliant students will be administratively withdrawn on the 30th day of the semester.
