As we enter a new fiscal year, we have made some procedural changes to simplify and improve campus utilization.
- We will no longer be utilizing some account codes and have moved some budgets to respective vice presidential areas for easier tracking and use.
- We have combined 71602 office supplies, 71604 data processing supplies, and 71605 departmental supplies all under 71602 office supplies.
- We have moved all travel out of an Institutional account to the respective vice presidential areas under account code 71001 travel and 710016 international travel.
- We have also moved all “seasonal” temp services that were budgeted in FY18 into the respective departments under a new account code (611221 temp services – seasonal) to allow easier department control and accountability of necessary seasonal temp services that occur each year.
In regards to temp services, we will be revising the temp service process and form in the next few weeks to better serve these needs. If you have any questions regarding temp service requests prior to the revision, please contact us.
In addition, starting in FY18 we will be implementing a cutoff date for the submission of purchase requisitions. Requisitions will be accepted through Aug. 15 each year for purchases using that year’s funds. Please note, all purchases must be received by Aug. 31 to be paid for out of that year’s funds or the PO will need to be canceled or paid for out of the next fiscal year.
Please also note that there is a change to the meal and lodging reimbursement rates which is reflected on the revised Travel Authorization Form. Effective Sept. 1, 2017 we will be following federal government rates which are determined by location and can be found by clicking on the link on the form (www.gsa.gov). Scroll to the bottom of the page to the “Making Travel Easier” or click on the “Travel” tab to enter your destination.
