Welcome back! Just a quick reminder that the Office of Institutional Advancement was re-established over the summer under the direction of Regina LaGatta. The office’s goal is to coordinate all alumni and philanthropic initiatives to best advance the mission of the college and Office of the President. It recognizes the critically important task of engaging corporate partners, donors and alumni in our mission and coordinates the efforts of the Foundation and Alumni Association as well as the Grants office.
Now that we are a few weeks into classes we thought it would be a good time to send some reminders regarding Foundation accounts and accepting non-cash contributions.
A number of departments and programs have funds with the Foundation. The funds in those accounts are to be used for the purposes specified when the accounts were set up. Account administrators should know what those purposes are; anyone needing clarification should contact the Foundation. Proper college protocol must be followed when making any purchases. If purchasing guidelines are not followed, requests for payment may be denied.
Expenditures must follow the fund guidelines, and when requesting funds from your account, we do need two weeks lead time to generate payment. A check request form can be found online at https://www.hvcc.edu/foundation/checkrequest.pdf. Please remember to attach all receipts and invoices when submitting the check request; missing information will delay the payment. From time to time, you may be approached by someone who wants to donate a non-cash item (often referred to as a “gift-in-kind”) to the college. If asked about a non-cash donation, please check with your department or program chair to see if the proposed contribution is an item that fits in with our educational mission.
There are several factors that need to be considered including determining whether acceptance of the gift would commit the college to additional costs such as insurance, maintenance fees or shipping to get the item to campus. If your department or program chair agrees that the item would be useful, s/he must complete a Non-Monetary Donation form which can be found online at https://www.hvcc.edu/foundation/non-monetary-donation.pdf. Please note that this form must be signed by the department/program chair, the supervising Dean/Director, the appropriate Vice President, the VP of Finance and Administration, and the President before the item can be accepted.
